TroopBase, screen by screen

  • An event page for the Klondike Derby, headed “RSVP by Oct 10, 2026 — you haven't replied yet.” A trip-details panel lists dates, location, deadline and payment terms; a “Sign Up Your Family” form picks attendees one person at a time, showing each scout's medical-form status and whether their permission slip is signed.

  • The troop roster, filtered by patrol. Tabs switch between by-patrol, by-family and adults-only views; the Hawk, Falcon, Timberwolf and Otter patrols are listed with their scout counts, alongside a jump-to-patrol sidebar and the signed-in leader's own family.

Everything built from real pain points — not a feature checklist. Each tool is something Troop 818 needed and couldn't find elsewhere. Anything still in progress is marked Coming; everything else is running with our home unit today.

Medical
Medical forms, tracked — not stored
TroopBase tracks whether each scout's Annual Health & Medical Record is on file and current, and flags who's missing one before a campout. It deliberately never stores the forms or any health details — status only, by design.
Events
Per-person RSVPs & permission slips
RSVP by individual scout and adult, not headcounts. Digital activity consent, per-event fees, and a parent-confirm step when a scout RSVPs for themselves.
Treasurer
Treasurer-grade financials
A real double-entry ledger, invoicing with payment tracking, per-trip P&L, and source-tagged credit memos. Built by a working troop treasurer.
Privacy
Privacy-first by design
Passkey and Apple/Google sign-in — no passwords to phish or reset. Youth data handled with COPPA-aware family exports and deletion. No shortcuts on youth safety.
PaymentsComing
Online payments for dues & trips
Families pay dues and event fees by bank transfer or card through Stripe, with invoices marked paid automatically. ACH-first, because a capped sub-1% fee beats card rates on a $400 summer camp bill. Built and in testing — not yet switched on for families.
ScoutbookComing
Open Scoutbook CSV interop
Import and export Scoutbook CSVs for merit badges and rank advancement, so TroopBase extends Scoutbook rather than asking you to leave it. Scheduled alongside the multi-troop beta.
FamiliesComing
Multi-org dashboard
Families with scouts in both a Troop and a Cub Pack get one login and one consolidated view. No duplicate accounts, no context switching.
MerchComing
Class B merch & pre-orders
Run pre-order campaigns with automatic refunds if the minimum quantity isn't met. No bolted-on Shopify, no Google Form patchwork.

Why TroopBase

Built by someone who
does the job.

Most troop management software was built by people who looked at Scouts from the outside. TroopBase was built from inside a real, active unit — extracted from Troop 818's production stack and generalized for any volunteer-led troop or pack.

The builder

Marin Palanker — Eagle Scout from Troop 818 (Baltimore Area Council), now serving as the troop's treasurer with two of her own scouts in the program. Former Den Leader. TroopBase is the tool she needed and couldn't find.
